
LS Intranet: Notifications about Activities on the Portal
You won't miss any corporate events or activities, from announcements to comments, as notifications will remind you about them. For this, we have implemented the related module into LS Intranet Internal Corporate Portal – the main work ecosystem of the Company. In it, you can configure automatic notifications of different types – from reactions to content to strategic reminders. Depending on your priorities, notifications can be sent to Microsoft 365 Teams or another preferred messenger, as well as email. Or directly to both your apps – it depends on your preferences, as the settings are quite simple.
We use these options not only as a communication tool but also as a mechanism to increase User engagement and promptly manage the Company's information space. Notifications in LS Intranet are based on events occurring within the portal. For example, when a User comments on a news post, the Author of the post and the Moderator receive the corresponding notification. On one hand, this helps to respond to the comment as fast as possible. On the other hand, this is pretty useful for analyzing overall User activity. If someone replies to a comment, the system immediately informs the Author of the initial message, so it's impossible to lose the dialogue.
For Team Managers, notifications about Team Members’ Birthdays are implemented. In our Company, for instance, the list of Birthdays is automatically sent every Monday, informing about those Employees whose Birthdays are expected during the week. Additionally, the portal automatically sends congratulations to the Birthday individuals via Company templates – from a concise letter to a personalized message in the chatbot. This is done via AI-UniBot Personal Assistant & Corporate Chatbot, which can be integrated into Teams or another popular messenger (like Viber or Telegram).
This is how the notification functionality is being used:
The Manufacturing Company, with a complex hierarchy, uses LS Intranet for coordination between workshops. After posting news about changes in the delivery schedule, dozens of comments with questions from Employees hung in the air without responses. With new notifications, the Author of the post and the Logistics Specialist received instant notifications via email. Thus, the response time to questions was reduced from 2–3 days to several hours. Additionally, in the same Company, notifications helped to correct mistakes in advance: when comments highlighted an error in the posted schedules, the Moderator managed to make necessary corrections before the work shift started. The notifications were sent to Teams, so they couldn't be missed.
The local Developing Company integrated notifications about new photo albums and digests into the corporate chatbot. After one of the construction projects was completed, the Administrator uploaded an album with over 300 photos to the portal, and all Office Employees automatically received a link to it along with a short video report in Teams. At the same time, the Front-Line Workers, who are mostly at sites and rarely visit the portal, preferring communication through other popular messengers, received notifications about the photo report from the event in their favorite chats.
It turned out that quite popular among Employees of this Company became the What you might have missed digests and the reminders about the corporate events registration deadlines. Thanks to these reminders, the number of participants increased by about 40%.
Launching this functionality is quite simple:
During the portal deployment, the Client, together with our Team, determines which notifications will be activated and through which channels (email, Teams, AI-UniBot with or without connection to other popular messengers). For example, the Administrators of our other Client, the Financial Organization, disabled notifications about blog comments. But activated notifications about weekly digests for departments. However, if, a year later, this Client decides to add notifications about, let's say, new videos, our Implementation Team would configure them without updating the entire portal.
In short, the notification system in LS Intranet Internal Corporate Portal is a tool that automates routine communication. Thus, the corporate online resource, which is visited rather to be read, turns into a communication center where active interaction occurs. Moreover, LS Intranet flexibly adapts to changes in your business processes. So the workload on HR Workers and portal Administrators reduces while information exchange becomes more targeted.
